The basics of this position:

The Administrative Assistant II provides high-level administrative support to various departments and senior staff, ensuring effective office operations and facilitating smooth departmental functions.

What you'll do:

  • The primary duties performed by an Administrative Assistant II include:

    Maintaining complex record-keeping and filing systems for storage and retrieval of correspondence, contracts, and departmental personnel records.

    Compiling and organizing statistical data and information for preparation of schedules, reports, or budgets.

    Scheduling and coordinating meetings and events, managing multiple calendars for campus leadership and ensuring efficient time management.

    Providing administrative support, including assisting faculty with administrative tasks, overseeing office procedures, and training staff.

    Managing payroll processes, including preparing workloads, entering Electronic Personnel Action Forms (EPAFs), and processing adjunct and overload assignments.

    Assisting with requisitions and encumbrances, ordering supplies for various departments, and managing budgets.

    Supporting academic functions, such as class scheduling, managing Memorandums of Understanding (MOUs), and ensuring compliance with academic policies.

    Additional duties as assigned.

Education, experience, and other requirements:

To be qualified for the Administrative Assistant II position, you need:
A high school diploma or equivalent with 3-5 years of related experience.
You must also pass a skills assessment at the intermediate level of proficiency in Microsoft Office.

Preferred Qualifications:

The preferred qualification is:
An Associate degree in Business Administration, Communication, Education, or a related field with a minimum of two (2) years of experience.
