The basics of this position:
The Specialist, Student Activities provides clerical, administrative, and project management support to student-facing departments. This role ensures efficient operations, supports student engagement and orientation initiatives, and enhances the overall student experience.
What you'll do:
- Serves as the primary point of contact for students, campus and district staff, and community partners; maintaining office coverage and managing department email and phone communications
- Assists with planning and implementation of student activities (e.g. room reservations, material preparation, ordering supplies, food, creating flyers) to meet the needs of student.
- Reviews and tracks all expenditures related to student activities, club and/or department budgets as assigned (e.g. manage budget requests, reconcile purchases and deposits, track spending and roll over budgets).
- May assist in gathering vendor documentation and quotes to support contract preparation in accordance with college purchasing procedures.
- Coordinates with supervisor and procurement staff to facilitate vendor onboarding and documentation submission for college systems as assigned.
- Manages inventories, ordering lists, and budget spreadsheets for events and departmental operations.
- Assists with scheduling team meetings, booking spaces, and coordinating staff availability.
- Screens incoming communications and prepares draft responses or standard replies for supervisor review.
- Supports college wide events by coordinating materials, supplies, communication, and logistics under supervisor guidance, where applicable.
- Assists students with accessing college technology resources, including password resets and basic navigation of college platforms.
Education, experience, and other requirements:
• High school diploma with 3 - 5 years of related experience
• Demonstrated successful experiences using Microsoft Office applications (e.g. Word, Excel, Outlook, & PowerPoint)
Preferred Qualifications:
• Preferred: Associate Degree in Communications, Business Administration, or a related field with 1 - 3 years of experience
