The basics of this position:

The Purchasing Coordinator assists the Purchasing Manager in the carrying out of duties necessary to purchase goods and services for the College that require competitive bids and compliance with Board Policy; develops and writes bid specifications; prepares bid documents and submissions to the Bonfire Bid purchasing service; selects contract type; prepares selection criteria with the aid of end-user; places orders and develops contracts; administers contracts, including discrepancy resolution, and expedites orders; reviews and evaluates requisitions and purchase orders to existing budgets; assists with Procurement Card transactions as needed. Acts as a backup to the Purchasing Manager when needed and provides direction to purchasing staff in a supervisory capacity when directed.

What you'll do:

  • Under the Purchasing Manager's discretion, assigns and evaluates work, mentors, trains, and provides guidance to Buyers on all Banner-related tasks which includes but is not limited to requisition entries, change orders, cancellations, manual dollar reductions, and awards.
  • Assists college end users with developing and writing technical and non-technical bid specifications; develops bid packages; solicits bids; reviews, analyzes, and evaluates bids.
  • Evaluate and recommend awards of major contracts; administer, organize, and manage major contracts; assist in resolving vendor protests over bid awards.
  • Monitors purchase history and performs administrative duties to issue POs, change orders, and cancellations to maintain and/or update records.
  • Assists in educating college end users and staff with resolving administrative issues related to all Banner transactions as part of the purchasing process.
  • Develops and maintains quality vendor relations: monitors and evaluates vendor performance to ensure that it meets the requirements of the College; develops new sources of supply to meet the developing needs of the College; resolves problems with shipments to ensure the College does not sustain losses and vendors are held accountable for their performance.
  • Deliver briefs, updates, and reports when required. (As requested,)
  • Negotiate non-complex contracts.
  • Maintains in collaboration with Buyer(s) the college Master Contract file.
  • Maintains the college master vendor list via Banner.
  • Advises and recommends to faculty and staff procurement options, product specifications, and utility to ensure proper selection of service or equipment to meet customer College needs.
  • Works towards College M/WBE procurement goals.
  • Maintains knowledge of Missouri and federal procurement laws, universal commercial codes, grant programs, College Board policy, required contract language, and industry standards. (Annually)

Education, experience, and other requirements:

• Bachelor's Degree or equivalent and three (3) years of relevant full-time experience.
• Proven experience as a Buyer or in a similar procurement role.
• Experience with large-volume purchasing procedures.

Preferred Qualifications:

• Five (5)+ years of experience in purchasing role preferred.
