The basics of this position:

The Contract and Budget Specialist is responsible for coordinating contract documents and monitoring budget information on projects. This role involves maintaining regular communication with internal and external stakeholders to ensure project accuracy and compliance.

What you'll do:

Contract Coordination and Budget Monitoring:

  • Communicate with contractors, district offices, and campus departments to gather accurate project information and funding details.
  • Prepare contract documents in compliance with legal and organizational requirements.
  • Maintain and update accounting and legal files for each project.
  • Coordinate paperwork for projects funded by external sources.
  • Compile and generate reports on project status and budget utilization.

    Contractor Evaluation:
  • Contact contractor references to gather and evaluate information on new contractors, ensuring adherence to quality and performance standards.

    Stakeholder Communication:
  • Maintain regular contact with offices within and outside the district to facilitate project coordination and resolve any issues that arise.

    Other Duties:
    • Perform additional job-related duties as assigned by the Director, Engineering and Design.

Education, experience, and other requirements:

• Associate degree in Business Administration, Finance, or a related field preferred.
• Minimum of two years of relevant full-time experience in contract management, budget monitoring, or a related field.
• Strong communication, organization, and attention to detail skills.
• Proficiency in Microsoft Office Suite and contract management software preferred.

PHYSICAL REQUIREMENTS:
• Ability to sit for extended periods and perform tasks on a computer.
• May occasionally lift or move objects up to 25 pounds.
WORKING CONDITIONS:
• Work is typically performed in an office environment

• May require occasional travel to project sites or meetings

Preferred Qualifications:

Familiarity with Banner, Cognos, contract management software or similar
